Job Description

Ensures all administrative, accounting, certain service user related, and purchasing functions are handled in an efficient, accurate, and timely manner and is in accordance with company policies and procedures. Assists the Director in the analysis of the unit’s financial performance, through the development, processing, and analysis of performance reports, the preparation of the budget and ensuing analysis of monthly financial reports.  Works closely with the Director on the financial feasibility of development projects. Coordinates closely with department heads to establish and monitor systems that provide service user or employee information. 

Essential Job Related Responsibilities

Assists with Data Entry and Record Management- Medical Records Filing and Maintenance: Files medical records daily, following required format. Documents release and disclosure on Accounting of Release and Disclosure form. Maintains appropriate filing, storage and security of medical records and Protected Health Information. Ensures Medical Records are transported to other sites as needed, following required process. Completes quantitative review of medical records as required by Director or Regional Director. Generates and reviews reports as needed. Completes data entry of consumer information (e.g., admissions, discharges, medical record updates, data entry, etc.), Ensures billing protocols are followed per required timeframes,  Completes and maintains service authorization for consumer’s served by RHA, Provides caseload and authorization management reports as required by Director or Regional Director.

Assists with Customer Service Responsibilities- Answers telephones, greets and assists customers (consumer, providers, vendors, co-workers), Demonstrates appropriate phone etiquette, Assesses information given and responds with proper information regarding agency and services, Takes and forwards messages as needed.

Coordinates Financial Data and Performance- Ensures daily deposits are completed if applicable, Oversees petty cash funds, Prepares and maintains petty cash documentation, Maintains security of agency credit card, Distributes monthly pay stubs and accounts payable checks.

Assists with Employee Hiring and Training- Provides training and technical support to staff, Reviews, approves and enters all time sheets and expense report submissions within required timeframes, Maintains vacation and sick time balances,  Recruits, interviews and makes recommendations for hiring of candidates for vacancies,  Maintains local personnel files, Completes quantitative review of personnel records,  Maintains personnel training database and provides monthly reports to Administrator, Completes and maintains staff schedules.

Performs Administrative Responsibilities- Provides general building maintenance, Orders and maintains office supplies, Operates and maintains office equipment as needed, Performs Risk Management to include workers compensation, OSHA and safety inspections, and performs office orientation for new employees. Types documents, forms and spreadsheets as needed, Faxes documents following required procedures, Stamps all incoming US mail, Ensures correct postage on outgoing mail, Distributes incoming mail, Reviews work logs to determine where additional clerical support is needed. Participates on committees and in unit/community meetings as needed, Receives ongoing training and skills enhancement through conferences, seminars and relevant trainings, Demonstrates flexibility and commitment to meeting unit/consumer needs.

Job Requirements

Successful candidates of the Administrative Assistant role are able to handle multiple responsibilities in a fast paced business office while ensuring operational goals and objectives are met efficiently and effectively.

Additional requirements of the Administrative Assistant role include: 

  • High School Diploma or GED required
  • Bachelor’s degree in Accounting, Finance, Economics, Business or related field, preferred
  • Accounting experience, preferred
  • Valid Driver’s license and automotive insurance
  • Proficient with computers and Microsoft Office including Excel, PowerPoint and Outlook
  • Excellent verbal, written and interpersonal communication skills
